Excel can work for a simple administrative record. Dedicated software can become more useful when schedules, sessions, packages and multiple staff members overlap. The choice depends on operational complexity, not patient count alone.

When can Excel be enough?

For a limited record maintained by one person, a structured spreadsheet with clear headings and consistent entry rules can help. Its flexibility makes it easy to change columns and calculations when the owner understands them.

Define who may edit the file, how versions are retained and how mistakes are reviewed. Sharing a file between devices alone does not ensure that everyone has the current version or appropriate access.

When should you consider dedicated software?

Consider software when staff repeatedly enter the same data in different sheets, struggle to connect bookings with patient files and package balances, or need different views of the same information at the same time.

A dedicated system can connect these tasks and separate access by role. Test the features that actually exist; spreadsheet imports, offline operation and external integrations are not universal.

Compare workflows and total cost

For spreadsheets, include the time spent maintaining formulas, preparing reports and resolving version differences. For software, include subscriptions, training, activation and extra services. There is no universal saving percentage: measure time and errors in your own team.

Try the same scenario in both tools: register a patient, book a visit, record a session, then identify the remaining package balance and payments. Choose the option that makes these records clearer to the people responsible for them.

Move gradually and reconcile records

Before moving, inventory existing files, remove duplicates and decide which information is needed. Confirm the supported entry or import process with the provider, and review a sample before moving more data.

  • Keep a reference copy of the old record with limited access.
  • Set a clear date for recording new activity in the new system.
  • Reconcile package and payment balances before relying on them.
  • Assign someone to resolve discrepancies and train the team.
