An appointment, a completed session, a package balance and a payment are related records, but they mean different things. A booking is not proof that a session happened, and buying a package is not proof of full payment. Clear definitions help everyone work from a consistent record.
Set clear booking rules
Define working hours, appointment lengths and who may reschedule a visit. Agree how cancellations and missed appointments are recorded, and explain how reception handles delays or clinician changes. These are operational rules, not treatment decisions.
Review the day’s schedule before work begins. Check the patient, clinician and time; do not use a booking alone as evidence that a service was delivered.
Separate booking from session completion
After a visit, an authorized team member records the session and required information in the patient file. Decide who corrects mistakes and how corrections are reviewed. Staff should understand the effect of a change on related records.
For a package patient, check used and remaining sessions after recording the visit. Verify how deductions work in your chosen software rather than assuming every action updates a balance automatically.
Train with a simple example
An administrative example: a patient buys a package of 10 sessions and attends 3 recorded sessions, leaving 7 under that package’s rules. If a fourth appointment is booked and then cancelled, it is not a completed session. Any fee or deduction depends on the clinic’s stated policy and system settings.
If the patient paid only part of the package price, the session balance and financial balance remain different. Review each separately rather than combining them in a free-text note.
Reconcile at the end of the day
Set aside a short daily review to match attendance, recorded sessions and collected payments. Differences should be corrected by the responsible person with a clear record, not by casually deleting entries.
